Overview

Southern Nevada Water Authority (SNWA) is responsible for the management of the Hoover Dam, and water treatment and delivery for more than 2.1 million residents.

Following a 10-year project to upgrade its facilities, SNWA identified a range of inconsistencies in its engineering data and drawings, making them difficult to find.

Challenges

Southern Nevada Water Authority (SNWA) is responsible for water treatment and delivery for more than 2.1 million residents, as well as the management of Hoover Dam. Over a 10-year period, SNWA rehabilitated pumps, replaced the entire electrical system, and completed landscaping and chemical feed piping.

This resulted in a large volume of data in multiple file formats and locations. The inconsistencies led to workforce and document management inefficiencies. Their teams were unable to collaborate in real-time and much of their valuable time was wasted searching for the most accurate drawings. With a large percentage of their workforce retiring soon, it was critical to find a solution that would be quick and efficient to implement.

Solution

RedEye reviewed the data structure and SNWA’s pain points associated with their document management processes.

SNWA’s drawings were streamlined and migrated into RedEye’s advanced cloud-based solution, with minimal impact to the organisation. Every drawing received a QR code to give field staff the choice of using a paper copy or electronic version, that are now instantly accessible to the entire organisation via mobile devices and computers.

Implementation was successfully completed in phases, prioritising change management and communication across different departments, teams, and offices.

Outcomes

All departments within the organisation embraced RedEye, and employees were trained to use the system in only a few months.

Over 500 users across the organisation have instant access to drawings and artefact, with over 14,000 searches performed each month. SNWA’s document management system is now streamlined. The workforce seamlessly updates and records changes within 48 hours, including 550 mark-ups each month.

RedEye’s public API allows SNWA to share electronic drawings with other enterprise platforms. The legal hold functionality saves SNWA a significant amount of time on legal requests, while also enabling SNWA to continue to maintain the latest updates and drawings.

Critical legacy knowledge is now captured and no longer lost as employees retire. Accounting for time savings alone, payback has been less than 12 months.
